Cancellation Policy
1. Provider-specific policies come first
Each provider sets its own cancellation window and any charge that goes with it, shown before you book and again before you cancel. Spot Now records the terms you accepted at booking and never applies terms added afterward; anything a provider charges is billed and collected by that provider.
2. Cancelling an appointment
Before you confirm a cancellation you will always see the appointment details, the cancellation deadline, the provider’s stated late-cancellation terms, and the option to reschedule instead. Cancellation requires explicit confirmation. You may optionally share a standardized reason (schedule conflict, cost, symptoms improved, found another provider, and so on) — never required, never sold.
3. Rescheduling
Rescheduling keeps your existing appointment until the replacement is confirmed by the provider's scheduling system, and your calendar events update automatically.
4. When a provider cancels
You are notified immediately, and the cancellation is identified as provider-initiated. You receive priority rebooking assistance and alternatives, calendar events are updated, and the full history is preserved in your account. A provider-initiated cancellation never carries a patient cancellation charge.
5. Disputes
Spot Now does not bill you, so any charge you disagree with is raised with the provider that issued it. If a cancellation was recorded incorrectly on Spot Now, contact support and we will correct the record and confirm it to the provider.
